The York County School of Technology is seeking an experienced Administrative Assistant to support the Administrative Director and Assistant Administrative Director. This is a full-time, year-round, salaried position. Annual salary begins at $40,000 with initial placement adjustment possible, commensurate with related experience.
The individual hired for this position will provide administrative support in the following areas:
• Maintain outlook calendars for the Director/Assistant Director and schedule meetings and events as necessary.
• Coordinate all NOCTI and pre-NOCTI logistics for the school.
• Prepare agendas and supporting documents for meetings, including but not limited to high school cabinet, faculty meetings, department leader meetings, and Local Advisory Committee meetings.
• Take and prepare minutes for meetings when requested.
• Prepare and disseminate weekly summaries of school events.
• Set up for various meetings and events, including coordinating assistance from other departments, such as Buildings and Grounds or IT needs.
• Manage budget and credit card records and reconciliation for the Director and Assistant Director.
• Update documents for the start of each school year and maintain updates as needed throughout the year. This includes but is not limited to the organizational chart, emergency flow chart, telephone directory, early dismissal checklists, emergency closing procedures, attendance magnets, and bell schedules.
• Prepare Chapter 339 binders for administration.
• Manage or assist with administrative travel arrangements.
• Data management for the PDE-320.
• Serve as backup for emergency notifications.
• Assist with PACTA events and planning as needed.
• Assist with the PDE/BCTE Technical Assistance program.
• Communicate Teacher/Staff Report and Dismissal times for various events
• Serve as a backup for kiosk coverage when needed
• Assist Human Resources with interview scheduling and preparation
• Conduct research as requested.
• Prepare reports and correspondence as requested.
• Handle requests for information promptly and thoroughly.
• Receive visitors.
• Maintain accurate paper and electronic files.
• Understand, interpret, apply, and explain rules, regulations, policies, procedures and project information.
• Participate in meetings, in-service activities, and training opportunities as required.
• Assume other functions or duties as assigned by the Director, Assistant Director, or other appropriate Administrator.
