Institutional Registrar

School: Lancaster County Career & Technology Center

Type: Full-time

Start Date: Immediately

At the present time, a vacancy for an Institutional Registrar exists within the Student Services Department of the Lancaster County Career & Technology Center.  This position will be located at the Willow Street Campus.

Position Summary:

The Institutional Registrar is responsible for establishing and administering procedures for creating, maintaining, and advancing student records student-wide.  This position will also provide support to other departments/functions as it relates to student accounts/records. While this position is primarily focused on post-secondary there will be interaction with secondary activities.

Qualifications:

  • 3-5 years of related experience
  • Valid PA Driver’s License
  • Associates Degree in related field required, Bachelor’s Degree preferred
  • Must be a Notary Public, or ability to obtain Notary status within 90 days
  • Excellent communication skills
  • Excellent customer service

Duties and Responsibilities:

Essential Responsibilities:

  1. Customer Service
    • Greet customers in a professional and courteous manner
    • Receive and respond to calls and e-mails from prospective and current students
    • Respond to customers by handling questions or concerns and/or by directing/linking customer to appropriate to resources
    • Provide clear communication by either phone, in person, by letter or by e-mail to customers
    • Maintain a general knowledge of all program areas and types of programs offered in order to provide high quality customer service
  2. Registrar Activities
    • Collaborate (and when necessary lead) with respective departments to maintain accurate student records
    • Oversee processes for student attendance records
    • Oversee student industry certifications/credentials/licenses process
    • Complete federal, state, and local reporting as needed, on time
    • Provide support to Supervisor of Curriculum in completing new program applications, substantive change applications, annual reports, self-study, and other documentation requirements needed to be in compliance with the school’s accreditation organization, as needed
    • Assist with program audits/reviews as required by accrediting/approving body
    • Ensure institution is compliant with FERPA guidelines in dealing with student records
    • Serve as Adult Education PIMS Administrator
    • Develop a mastery oversight of student information system (SIS)
    • Develop and implement procedures as necessary related to registration and student accounts/records
    • Train support staff and professional staff on use of adult SIS related to student registration, processes, reporting, and other student record related tasks
    • Have a working knowledge of all institutional program offerings
    • Evaluate transcripts for incoming transfer students and record in adult SIS
    • Ensure academic and student related policies are followed
    • Participate in the institutional catalog review committee
  3. Bursar Activities
    • Develop and implement procedures as necessary related to payment applications, payment plans, and billing
    • Train support staff and professional staff on use of adult SIS related to collecting/allocating payments and generating invoices and statements
    • Have a working knowledge of the relationship between the adult SIS and financial information system (FIS)
    • Develop a mastery of adult SIS system as it relates to student financial accounts, including the student account portal
    • Have a working knowledge of all institutional program offerings
    • Collaborate with Financial Aid regarding financial aid disbursements
    • Provide support to Directors/Principals as it relates to student financial accounts
  4. Office Duties
    • Assist in the development and maintenance of Adult Education Office Policies/Procedures
    • Perform basic office duties such as copying, typing, faxing, filing, and purchasing office supplies
    • Respond to customer and agency inquiries regarding transcript requests

Salary range:*

$50,000- $60,000 annually
*based on experience

Schedule:

Monday- Friday; 8:00 am- 4:00 pm; 37.5 hours/ week; 12 month (260 days)
